I was elected to be the LSU Fall 2020 Capstone Project's Project Manager. I hold that position in high regard because it's something I knew I would love to do. It took organization, time management, and attention to detail to turn our class project into a reality.
Once I was tasked to be the project manager of LSU's Fall 2020 Capstone class, I knew we needed two things. Organization and a uniform way to communicate. The entire class was composed of multiple teams, and to keep everything organized, I needed to be sure that everyone had access to certain technology.
So, I ran two polls to see what form of communication would be best for my team and how they wanted to share information and files. We all agreed it would be best to use GroupMe to communicate and use Google Drive in order to share information across multiple teams.
In order to remain efficient, I knew that I had to organize the Google Drive in a way that made sense for anyone. So, I organized everything by the team, important updates, and a calendar that was avaible to everyone in the class.
With 16 people in my class, I knew that I couldn't do every little thing that could possibly be done for this project. So, our class nominated leaders for each team. I assigned all the leaders to organize their team's folders as they see fit and to collaborate with their team members to ensure that everything was up to everyone's standards.
I also reached out to everyone when appropriate to ensure that things were running smoothly. If everyone did their part, my team would be able to work effortlessly with one another and create an ad campaign that would wow our client.
Completing work in a timely manner can be stressful, and I knew my team could possibly struggle with it. So, I created a file in the Google Drive that marked important dates. Those dates kept everyone in line and on task. I would notify everyone when something was coming up, and I made sure that if anyone needed any extra help, they could always reach out to me.
Not everything can go off without a hitch, but that's okay. I was there to make sure that details were not missed when it came to getting work done.
Once work was completed, I would go through the team's work to make sure everything made sense.
I also acted as editor for our plan's book for the campaign. I went through the entire book, 43 pages, and checked for grammar and spelling in accordance to AP style. I also made sure that page numbers matched and creating the table of contents.
Our Capstone class was held during the 2020 COVID Pandemic, and to offer insight on how to stay organized, I decided to make videos and placed them in the Google Drive for reference. Here are two examples of project managing in a pandemic world.
Here is another video where I demonstrate how to use the Shared Information folder located in the Google Drive we used for the Capstone project.
